On-VoIP ("Company," "we," "us," or "our") is committed to protecting the privacy and security of our customers' personal information. This Privacy Policy describes how we collect, use, store, share, and protect information in connection with our Voice over Internet Protocol (VoIP) telecommunications services provided through on-voip.com.

2. Information We Collect

2.1 Account Information

  • Full name (first and last name)
  • Business name (for business customers)
  • Physical address (street, city, state, ZIP code)
  • Email address
  • Phone number
  • Account credentials (encrypted password)
  • Customer type (residential or business)

2.2 Billing Information

  • Payment card information (processed securely through Stripe; we do not store full card numbers)
  • Billing address
  • Transaction history and invoice records

2.3 Telecommunications Data

  • Call detail records (CDRs) including: originating number, destination number, call duration, date and time
  • Phone numbers assigned to your account
  • E911 registered address information
  • Voicemail messages and recordings (when call recording is enabled)
  • PBX configuration data (extensions, ring groups, IVR settings)

2.4 Technical Data

  • IP addresses used to access your account
  • SIP registration data
  • Browser type and device information
  • Usage logs and service interaction data

3. How We Use Your Information

  • Providing, maintaining, and improving our VoIP services
  • Processing payments and managing billing
  • Provisioning phone numbers, E911 service, and caller ID
  • Customer support and service communications
  • Compliance with legal obligations and regulatory requirements
  • Detecting and preventing fraud, abuse, and policy violations
  • Network monitoring and service performance optimization
  • Sending service-related notifications (billing, maintenance, etc.)

4. Customer Proprietary Network Information (CPNI)

As a telecommunications provider, we collect Customer Proprietary Network Information (CPNI) as defined by the FCC. CPNI includes information about your calls, such as:

  • Numbers you called or received calls from
  • Duration and time of calls
  • Service features you use
  • Billing information related to your service

We protect your CPNI in accordance with FCC regulations (47 C.F.R. § 64.2001 et seq.). We will not share your CPNI with third parties for marketing purposes without your express opt-in consent. We use your CPNI only for providing and billing for your services, unless you authorize otherwise.

5. Communications Assistance for Law Enforcement Act (CALEA)

CALEA Compliance Notice

On-VoIP complies with the Communications Assistance for Law Enforcement Act (CALEA), 47 U.S.C. §§ 1001-1010. As a VoIP service provider, we are classified as a telecommunications carrier subject to CALEA requirements.

Under CALEA, we are required to:

  • Ensure our systems and services are capable of enabling lawful interception of communications when authorized by a valid court order, warrant, or other lawful authorization
  • Provide call-identifying information (caller ID, called number, time, duration) to law enforcement upon receipt of a valid legal process
  • Cooperate with authorized government interception requests in a timely manner
  • Maintain systems that comply with technical capability requirements established by the FCC

We will only disclose communications or customer data to law enforcement when:

  • Compelled by a valid court order, warrant, subpoena, or other lawful legal process
  • Required by applicable law or regulation
  • Necessary to protect the safety of any person or to prevent imminent harm

We will make reasonable efforts to notify affected customers of law enforcement requests unless prohibited by law or court order from doing so (e.g., gag orders).

6. Information Sharing

We may share your information with the following categories of third parties, strictly as necessary:

  • Service Providers: Telnyx (telecommunications infrastructure), Stripe (payment processing), and other vendors essential to delivering our service
  • Law Enforcement: As required by CALEA, court orders, subpoenas, or other valid legal process
  • Regulatory Bodies: FCC, state public utility commissions, and other telecommunications regulators as required
  • Emergency Services: Your E911 registered address is shared with emergency dispatch when you dial 911

We do NOT sell, rent, or trade your personal information to third parties for marketing purposes.

7. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Secure password hashing (bcrypt)
  • PCI DSS compliant payment processing (via Stripe)
  • Regular security audits and monitoring
  • Access controls and employee training
  • Encrypted SIP signaling (SIP over TLS) and media (SRTP) options

8. Data Retention

  • Account Information: Retained for the duration of your account and 12 months following termination
  • Call Detail Records: Retained for 24 months in accordance with telecommunications regulations
  • Billing Records: Retained for 7 years in accordance with accounting and tax requirements
  • Voicemail & Recordings: Retained for 90 days or the duration of your account, whichever is shorter

9. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Access your personal information held by us
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Opt out of CPNI sharing for marketing purposes
  • Receive a copy of your data in a portable format

10. Children's Privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected data from a minor, we will promptly delete such information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or prominent notice on our website at least 30 days before changes take effect. Your continued use of our services constitutes acceptance of the updated policy.
